Backfill

Meaning & Definition

When an employee leaves a job for any reason (temporary or permanent), Backfill is the hiring or assigning of someone to take that person’s place. The reason for leaving can be one or two things: resignation, promotion, transfer to another department, extended leave of absence, or retirement. In human resource departments, Backfill allows an employee’s important job functions to continue as usual without slowing down the company’s overall performance.

Significance of Backfill:

  • Maintain business continuity when an employee’s position is empty.
  • Minimize productivity loss resulting from employee turnover.
  • Facilitate internal movement and promotion of employees.
  • Assist managers with managing team performance and workload balance.
  • Conveniently improve workforce and succession planning.

Compliance & Policy Considerations

This term has no specific statutory requirement that is associated with it.

When making backfill decisions, companies usually refer to:

  • Internal hiring and workforce planning procedures
  • Approved budgets and headcount planning guidelines
  • Recruitment procedures and authorisation of recruitment for the role

Organisations must provide equitable hiring opportunities when they are backfilling positions.
