Absenteeism Policy

Definition and Meaning:

The Absenteeism Policy is an HR Policy that defines the manner in which organisations will deal with frequent or unauthorised absence of employees. This policy will provide a guide to acceptable levels of attendance, procedures for approval of leave requests, rules for reporting, and consequences for noncompliance. An Absenteeism Policy will assist in minimising productivity loss and provide fairness in the management of the workforce through consistent, fair application of policies within HR.

Key HR Highlights

  • Provides a clear definition of employee attendance and timeliness expectations
  • Assists HR managers in monitoring unapproved time off and continued absence
  • Promotes equal, consistent, and reliable enforcement of employee discipline across departments
  • Enhances employee productivity and helps maintain business continuity
  • Clarifies how employee attendance fits within the context of an employee’s payroll and leave management frameworks.

Legally Required Policies for Absenteeism in India

In India, there is no specific, ongoing law regarding absenteeism policies or the requirements of such a policy. However, any absenteeism policy must comply with:

  • Applicable Shops and Establishments Acts (state-specific).
  • The Factories Act of 1948 (for Employees of Factories).
  • Company Standing Orders or Certificated Human Resource (HR) Policies.

Before taking any disciplinary, termination-related actions against an employee due to absenteeism, an employer must provide Due Process and principles of Natural Justice.
